The opportunity

This is an exciting opportunity for an Executive PA to join us providing support to our new Managing Director. You will provide administrative and organisational support to the MD, and further ad hoc support to our Executive committee where required. This role sits as part of our organisation wide PA team, reporting specifically to the Managing Director. 
This role is likely to be based in London, with some travel to Swindon.

Key accountabilities:
  • Effective diary management and all associated arrangements to ensure the smooth running of schedules and optimum effectiveness of the Managing Directors time
  • Production of agendas, briefing materials, correspondence, reports, presentations, packs, travel, refreshments etc.
  • Monitor and prioritise incoming mail/emails/calls on a daily basis, dealing, responding or redirecting as appropriate
  • Maintain control of monthly expense claims for the MD and their direct reports,
  • Preparation of meeting materials as well as attending meetings to take minutes as required 
  • Ability to be flexible in terms of working hours and travel where required
  • Working together with the PA Team to ensure that all Exec members are given consistent support and cover and do whatever is necessary to get the task done
  • Build and maintain effective working relationships 
  • Represent The Openwork Partnership externally when required, portraying a professional can do attitude at all times. 
  • Build relationships with internal and external colleagues 

What will you need to succeed?

Previous PA experience at Executive level
Minimum Maths / English qualification
Microsoft Packages:  Teams, Word, Powerpoint and Excel
Excellent organisational skills 
Strong grammar and vocabulary skills 
Strong interpersonal and communication skills to deal with individuals of all levels
Good telephone manner 
Able to work on own initiative as well as part of a team 
Ability to work under pressure and to tight deadlines 
Able to prioritise work effectively 
Excellent time management skills
