The opportunity

As the office assistant, you’ll play a key role in ensuring the smooth and efficient running of our London office. You’ll help create a welcoming, organised, and productive environment for colleagues, advisers and visitors alike, consistently reflecting our brand values of professionalism, integrity and approachability. Working closely with the Head of Facilities, you’ll support the day-to-day management of the office and contribute to the successful delivery of the upcoming office move project. You’ll also provide ad-hoc administrative support to Omnis and Openwork Colleagues as required. 

This is a 9 month fixed term contract, based 5 days a week in our London office.

Your responsibilities will include:

  • Greet and assist guests, advisers and colleagues in a warm and professional manner.
  • Deal with all enquiries in a professional and courteous manner, in person on the telephone or via email.
  • Support the Head of Facilities in managing and upholding H&S processes such as security process and first day inductions 
  • To showcase our brand and enhance the guest experience by ensuring the environment is tidy and appealing at all times.
  • Collaborate with colleagues and liaise with suppliers to ensure needs are met. To manage office supplies, equipment, and resources such as taxi’s couriers, catering suppliers etc
  • Work with the EA’s and Openwork team in the set-up of meeting rooms and organise/coordinate the appropriate equipment.
  • Provide general ad-hoc support to the office as and when required.
  • Support the evacuation process in cases of emergency, acting as a first point of contact for guests & emergency services.
  • Work with the Head of Facilities on a variety of tasks as and when needed.
  • Liaise with IT support in Swindon to maintain the London office for Executives, colleagues, advisers and guests.
  • Supporting office move as when required.
  • Perform the role of Fire Marshall and First Aider (training will be provided).
  • Using the Yardi Bluepoint system. 

What will you need to succeed?

  • Proven ability to communicate effectively at all levels in the organisation.
  • Detailed understanding of business commercials, identification of risks and commercial mitigations.
  • Company systems and procedures, i.e. contracts, regulatory regime.
  •  Ability to understand the interdependencies between internal functions and operational considerations.
  • Excellent interpersonal, presentation and communication skills, written and verbal.
  • Committed and flexible team player with the ability to work on own initiative.
  • High level of emotional intelligence and communication skills to manage adviser and client transitions sensitively and effectively.
  • Ability to confront difficult issues and take ownership for resolution, without the need for approval.
  • Competent at prioritising, resourcing, planning and performance management.
  • Able to take responsibility, act decisively and be accountable.
  • A reputation for diplomacy and discretion.
